Onboarding & Implementation

Signing the contract is only 10% of the journey. We are here for the other 90%.

Choosing a workforce platform is the quick part. What actually decides whether the investment pays off is everything that happens next: how accurate your employee records are, whether your stakeholders agree on the process, how confident your managers feel using the system, and how fast your people adopt it without being reminded.

That is the work our customer experience team owns. From the first handover of data through to day-to-day adoption across your sites, we stay involved until the platform is running the way you expected it to run. Our team has experience helping more than 3000 organizations create a great employee experience, and that experience shapes how every rollout is planned.

The six stages of a Tipsoi rollout

Every implementation follows the same path. How long it takes depends far more on preparation than on the size of your headcount. Below is what happens at each stage, and what we need from your side to keep things moving.

The onboarding & implementation journey

1

The faster you hand over data in our required format, the faster we can onboard you.

Data collection

Nothing slows a rollout down more than employee data. This is where most delays happen, either because the information has not been pulled together yet or because it sits in an unstructured format spread across different files and departments.

We can help you with Excel file formatting, and our team is happy to take some of the structuring workload off your plate. What we cannot do is verify that the underlying information is correct. Accuracy stays with you, because you are the only side that knows which employee ID, designation, shift, or department is the right one. Consider this fair warning: inaccurate source data will follow you through every later stage.

2

Kick-off meeting (True Transition)

Once the data is in, we bring everyone into one room, physically or virtually. We ask that all stakeholders involved in the onboarding process attend, so the implementation workflow is clear to each of them and the resources needed to go live can be lined up in a short window rather than negotiated stage by stage.

There is one thing every successful project has in common: all stakeholders are on the same page.

If you are unsure how to structure shifts, approval flows, or device placement, ask. Advice on good practice costs you nothing, and our resources hub covers a lot of the ground as well.

Configuring the system

Tipsoi is built with streamlined wizards and self-explanatory workflows, which is why configuration usually moves quickly. Some clients complete onboarding without any support from us at all. For everyone else, our role during this stage is not just to switch things on for you but to leave your team capable of handling Tipsoi independently afterwards.

4

Validation & Reconciliation

Before anyone relies on the system, the setup has to be checked properly. This stage involves extensive validation and reconciliation to confirm that employee information is accurate and behaving as expected. We ask you to review everything that has been configured rather than spot-checking a sample.

The reason is simple. Error-free employee data is what makes the experience feel effortless for your employees, and a single wrong shift assignment or reporting line becomes visible to hundreds of people at once.

5

Sign-off is not the point where we disappear. Our support team remains available whenever you need it.

Walkthrough & sign-off

Next come guided one-on-one training sessions, designed to give your administrators and managers a firm grip on the software rather than a general overview of it. When your team is genuinely ready, we take your sign-off.

6

Go Live

Now it goes out to the wider organization. Employees get an interface that is easy to move through and quick to navigate, which is what makes daily attendance, requests, and approvals stop feeling like admin work.

Why preparation matters more than headcount

A large organization with clean, structured records will usually go live faster than a much smaller one whose employee information is scattered across unconnected spreadsheets. That holds true whether you are rolling out across corporate offices, retail branches, manufacturing floors, warehouses, or construction sites with a mobile workforce.

The practical takeaway for HR and operations teams: start the data work before the kick-off meeting, not after it. Decide who owns the master employee list, agree on how departments and designations are named, and confirm your shift patterns and leave rules in advance. Everything downstream depends on those decisions.
